CONTRACT

1. Stavros Lykakis Photography must be notified immediately of any changes in schedule or location, at least one week prior to the scheduled date of event.  Notification of any changes can be made by phone along with written notice sent via email for documentation.  If an email is sent, a confirmation of receipt must be in writing.  It is the client’s responsibility to confirm all arrangements at least 7-10 days prior to the event.  In the event of change of address or contact information (time, etc.) as listed, you must notify Stavros Lykakis Photography.
2. A euros deposit is needed to secure your date and time of wedding. The deposit is non-refundable in the event of cancellation or date change. The balance of the complete package price must be paid with the delivery of clients USB/online galery. On signing of this agreement by both parties hereto Stavros Lykakis Pohotography will reserve the time agreed upon and will not make another reservation for the specific time frame.

3. There shall be NO refund of retainer after 48 hours from the signing of agreement due to the  reservation of the photography date.  Once a balance is paid, it is NON-REFUNDABLE.  Any other arrangements shall be discussed between the client and Stavros lykakis Photography.  All arrangements will be put in writing.  Cancellation must be in writing even if a phone call was made to inform Stavros Lykakis Photography of the cancellation.
4. The amount agreed upon covers the photographer’s time, talent, proofing and editing. It also cannot be changed or altered by any means.
5. Due to the limited and subjective nature of the event, neither Stavros Lykakis  or  Stavros Lykakis  Photography can be held responsible for requested photographs not taken or missed, lack of coverage resulting from weather conditions, or schedule complications caused by but not limited to, anyone in or at the event, or by the church or location restrictions.  The photographer is not responsible for lost photo opportunities due to other cameras or flashes, the lateness of the bride, groom, or other principles.  The Photographer is not responsible for the lack of coverage due to weather conditions, scheduling complications due to lateness of individuals, rules and restrictions of venue, or the rendering of decorations of the location.  It is acknowledged that any lists submitted to Stavros Lykakis Photography will be used for organizational purposes only and in no way represents photography that will actually be produced.  Stavros Lykakis Photography will do its best to fulfill all requests but can make no guarantees all images will be delivered.  Clients are responsible for all location fees and permits.  
6. If Stavros Lykakis Photography or its assigns, cannot perform this agreement due to a fire, casualty, strike or other civil disturbances, Acts of God, including put not limited to, road closures, severe traffic, fire, terrorism or other causes beyond the control of the parties, or due to the photographers illness, then Stavros lykakis Photography shall return any moneys paid by the client, less expenses, but shall have no further liability with respect to the agreement.
7. Additional expenses or any kind of  fees related  to the wedding must be  reimbursed to Stavros Lykakis Photography and will be added to the balance due after the event.If a travel fee has already being applied, this covers only the costs to get to the location and back. Accommodation and transportation costs on the wedding day will be either taken care by the client or will be added to the final cost as expenses.  
8. A seat and regular service is required for the photographer if the photographer stays longer than one hour at the reception. In order to achieve the best possible results it is quite important that the seat saved for the photographer is close to where the action is going to be. Stavros Lykakis feels and performs much better when treated as just like every other guest. No special or separate  table is required. A seat between other guests is usually the best option.  In the unfortunate event that no seat is reserved and no meal is provided, it is understood that Stavros Lykakis will leave the event to purchase a meal. As the meal has being already being accounted and compensated for in the package price, for both the cost and the time, the meal purchased will be considered as an additional expense (see “Expenses”) and the time it will take will be off your purchased coverage time.

9. Upon notification, the clients must arrange for pickup and delivery of products within a reasonable time period, not to exceed 30 days after notification. Stavros Lykakis Photography is not responsible for any damage that may be incurred while final products are in storage after said 30 days.  The terms of this agreement are valid for 6 months after the date of the event.  If no correspondence has been received by that date, this agreement will be considered completed in full.  Stavros Lykakis Photography cannot be held liable in the event that photographic materials are damaged in the processing, lost/damaged in the mail, or otherwise lost or damaged without fault on the part of the photographer. No money will be reimbursed. All prices are locked in for 6 months.  After 6 months prices are subject to change.
10. Although diligent efforts are made to avoid environmental problems and effects, all client-requested photographic touchups or alterations not included in the purchased product will only be performed at the client’s expense.  Such retouching may include but is not limited to, correction of hair/make up, environmental effects, clothing,  reflections in glasses, opening closed eyes, removal/insertion of family members, hired wedding personnel, fixtures etc.
11. Images are edited at the photographer’s discretion, and delivered USB or Digital Download may not include all images shot. The photographer reserves the creative right to edit out any images not deemed creditable as professional in quality and within the photographer’s artistic standards.
12. Stavros Lykakis Photography will choose the best images from wedding day. Stavros Lykakis Photography does not show un-edited images, nor involve her clients in the process of choosing which images will be chosen for the final gallery. Stavros Lykakis Photography spends a great deal of time going through each image individually. Please rest assured that I will only show you the BEST of the BEST and any images that is unappealing (i.e.: eyes closed, unflattering facial expressions and most definitely, any images that do not meet my high professional standards will get deleted immediately).
13. The high resolution digital files will be in jpeg format. The original files will be shot in RAW format and will be converted to High Quality Jpeg files for delivery. The high resolution digital files will be provided to the client on Privet online gallery as Digital Downloads through the internet, for delivery within 2-5months from the day of the event. 

14. Due to the lack of information about how long USB can hold information, Stavros Lykakis Photography recommends you back up your images on another media format other than USB.  Stavros Lykakis Photography also recommends making multiple copies of USB every year to insure the images for years to come.  Stavros Lykakis Photography cannot be held responsible for the failure of USB due to mishandling.  It is the client’s responsibility to keep several copies of any USB in more than one location, and back the images up on another format such as a hard drive.Digital Downloads (files sent through a file sharing provider through the internet) are usually provided with the help of dedicated file sharing services likeDropbox and Wetransfer.

15. If wedding is located 2 hours away from Chania , then a hotel room must be booked and paid for the photographer.
16. Cancellation policy: 

 Cancellation:
The Client may cancel this contract at any time by giving written notice to Stavros Lykakis Photography ,the deposit is non-refundable
Cancellation fee:
Cancellations more than 6 months prior to date:- 30% of agreed package price Cancellation less than 12 weeks before the wedding - 50% of agreed package price. Cancellation less than 1 week before the wedding - 90% of agreed package price.All cancellations must be in writing.

Postponing: 

If you need to reschedule your event due to exceptional circumstances, your booking will be transferred to your new date as long is it falls within 12 months of the original date,and   Stavros Lykakis Photography is available. If Stavros Lykakis is not available or the date falls outside of 12 months, then our normal cancellation policy and fees apply

17. Stavros Lykakis Photography is the exclusive photographer for the wedding and all the other events connected to the wedding, and no other professional photographer is allowed to participate without Stavros Lykakis Photography hired him.
Family and friends of the Client shall be permitted to photograph during the wedding as long as they shall not interfere with the Photographer’s duties (specifically flash photography while the Photographer is working).

18. In the unfortunate case that the client does not receive any photos from Stavros Lykakis regarding the wedding day, caused by the mistake of IStavros Lykakis , the client will be fully refunded by Stavros Lykakis by paying back all the deposits she was given to the client plus 100% of the package costs as a compensation for the lost images.

19. Governing Law - This agreement shall be governed in accordance with the laws of Greece.

20. Stavros Lykakis Photography has all the legal rights in a case of clients bad behaviour to cancel the contract, and pay back the deposit that has been taken - minus the expenses that have been provided until that moment.

                         
The photographer has the right to choose the best service provider to send the files.

The files will be available for download for as long as the service provider allows for (usually between 7-14 days). In case of failure to download the files within that time the files can be re-sent for one more time at no extra charge.

The downloaded files will have to be stored and saved at least at 2 different hard drives and also to one USB.

Free back up service in case of hard drive failure and total loss of files is provided for one year after the wedding date.
